WHAT YOU'LL DO

You will review employment contracts, ensure accurate Vietnamese translation and retain employment contracts for statutory and tax audit purposes. 

In this role, you will stay abreast on and ensure compliance with employment laws and regulations. You will also prepare and submit local statutory filing for both current firm members and new joiners (change of employment status/existing registration, update new compensation rate, claim benefit/allowance, collect certificate of pension contribution). In addition, you will update any change of statutory insurance contribution regulation to payroll team for payroll calculation process. 

Furthermore, you will ensure smooth entry and exit of firm colleagues by conducting onboard orientation for new joiners, firm policies, benefits administration processes, including communicating changes in benefits programs, and serving as a key contact for benefits-related questions and statutory benefit plan. 

You will monitor and ensure that mobility-related allowances and compensation are updated in the HR system for timely payment by the payroll team. Your role will be to understand and communicate office-specific and firm-wide policies and procedures when necessary.  You will also support performance management process and database (e.g., coordinate process, ensure data accuracy, identify design improvements). 

In relation to mobility, your role will be to coordinate with the professional development and immigration counsel teams in collecting transferee's profiles, mobility plan and benefit packages. You will calculate applicable allowance and update on offer letters, trigger mobility request on mobility center portal and coordinate with involved teams to ensure smooth transfer and tax compliance implementation. You will also research and manage vendors (immigration service) to ensure quality service to transferees with maintaining cost effectiveness and coordinate with forwarder agents to arrange administration papers for house goods shipment. 

Your role will be to manage immigration consulting service provider to obtain resource demand approval, work permit, visa , temporary residence cards (TRC) for new transferees and counsel transferees on the most efficient way to use the resources available to them (answer queries, guidance on policy/ process/tax implication, bank account set-up.) You will maintain rhythm meeting with ASO immigration counsel team in updating regulation, office operation in immigration areas and maintain immigration tracker to ensure work permit, TRC and visa renewals are timely.

QUALIFICATIONS

  • University degree in human resources or related field
  • 2 years of general HR and mobility administration experience
  • Knowledge of relevant local HR regulations and issues 
  • Exposure to HR systems (e.g. SuccessFactors, Lawson) 
  • Advanced level of proficiency in MS Word, PowerPoint, Excel, Access and web-based applications
  • Ability to manage competing tasks and deliver quality output
  • Ability to successfully achieve desired results through collaboration and influencing
  • Ability to communicate effectively with his/her team and the various stakeholders
  • Ability to resolve problems in a fundamentally sound manner
  • Ability to believe and trust in one’s own ideas while being open to new ideas
  • Strong command of the English and Vietnamese languages in both written and verbal communications
